1. Code of Conduct

Holistic AI is committed to creating a safe, respectful, and productive environment for all participants. By attending the Great Agent Hack 2025, you agree to the following:

1.1 Respectful Behaviour

• Treat all participants, mentors, judges, organisers, and venue staff with courtesy and professionalism.

• Collaborate constructively, fostering a positive, inclusive, and supportive environment for everyone.

1.2 Zero Tolerance for Harassment

• Harassment of any kind will not be tolerated. This includes, but is not limited to:

• Verbal abuse, intimidation, threats, or derogatory comments.

• Discriminatory language or behaviour based on race, gender, ethnicity, disability, religion, age, sexual orientation, or any other protected characteristic.

• Unwelcome physical contact or sexual behaviour.

• Online or digital harassment, including within event communication channels.  

Participants who engage in harassment may be removed from the event premises immediately and may face further action at the organisers’ discretion.

1.3 Safety and Appropriate Conduct

• Physical violence or threats of violence will result in immediate removal from the hackathon.

• Participants must avoid any behaviour that compromises the safety, operations, or wellbeing of others.

• All venue rules, university policies, and instructions from organisers or security personnel must be followed.

• Respect shared spaces, equipment, and facilities at all times.  

1.4 Responsible Technology Use

• Participants are encouraged to explore, test, probe, and attempt to break or red‑team as a part of the hackathon challenge within the approved event environment.

• Do not deploy harmful or malicious tools outside the event.

• Follow copyright, privacy, and licensing rules.

• Respect digital security: no unauthorised access or interference with other teams’ work.

1.5 Reporting Concerns

• If you experience or witness any inappropriate behaviour, please report it immediately to a member of the organising team.

• All reports will be handled promptly, discreetly, and confidentially to ensure the safety and wellbeing of all participants.

2. Photo and Media Consent

• Holistic AI may capture photos, video, audio, and other media during the event. By attending, participants acknowledge that:

• They may appear in event photos, videos, or recordings.

• Media may be used for marketing, social media, documentation, and promotional materials.

• Media may be shared with event partners and sponsors.

• Media may be used, edited, reproduced, or distributed in any format or platform now or in the future.

• Participants acknowledge that images published online may be viewed internationally.  

• No compensation will be provided for the use of such media.

• Participants who prefer not to be photographed should notify the organising team. Reasonable efforts may be made to limit use in future materials, but we cannot guarantee removal from images already captured or in circulation

3. Terms & Conditions

3.1 Eligibility

• Participants must register through the official event channels. By participating, you confirm that all information provided is truthful and accurate.

• Participants under 18 must provide parental or guardian consent.  

3.2 Intellectual Property

• All work, including code, models, documentation, designs, or other outputs created during the hackathon, is the exclusive property of Holistic AI.

• Holistic AI reserves the right to use, publish, or further develop any materials produced during the event.

3.3. Team Formation

• Participants may work in teams of 2.  

• Team changes after the hackathon begins are discouraged and must be approved by organisers.  

• Participants may not join multiple teams.  

3.4 Fair Participation

• All submissions must be created during the official hackathon period.

• Cheating, or attempting to bypass rules may result in disqualification.

3.5 Judging & Awards

• Projects will be evaluated on innovation, technical strength, quality and alignment with event themes.  

• Judging criteria will be explained during the opening ceremony.  

• Judges' decisions are final.  

• Prizes will be issued within 90 days of the event to them team representative responsible for internal distribution.  

3.6 Equipment and Personal Belonging

• Participants are responsible for their own devices and personal items.  

• Holistic AI and UCL are not liable for loss, theft, or damage.

3.7 Data Privacy

• Holistic AI may collect personal data such as name, email, organisation, and project details for:  
  -      Event administration.  

• Communication  

• Judging and Documentation  

• Marketing and promotional activities related to the event.  

All data will be handled securely and in accordance with applicable privacy regulations.

Acceptance  

• By attending the Great Agent Hack 2025, participants confirm that they have read, understood, and agree to abide by this Code of Conduct and Terms & Conditions.
